At DocPath, we pride ourselves on delivering innovative solutions for Document Lifecycle Management (DLM), helping businesses manage their document processes from creation to distribution and tracking. To keep our operations running smoothly, we are looking for an Administrative Coordinator to support various administrative functions and ensure day-to-day operations are carried out efficiently. What We're Looking For: Administrative Coordinator with experience in office management, communication, and financial assistance. English proficiency is a must. Spanish proficiency at least professional. Proven experience in organizing meetings, managing office supplies, and coordinating internal communications. Strong organizational skills with the ability to handle multiple tasks and prioritize effectively. Familiarity with office software like Microsoft Office, QuickBooks, or other accounting tools. Excellent attention to detail and problem-solving abilities. Key Responsibilities : Organize and maintain office files, records, and supplies, while managing equipment inventory and staff/executive schedules. Serve as the main point of contact between departments, external vendors, and clients, coordinating internal communications and distributing important information through emails, memos, and reports. Organize meetings, conferences, and company events, including booking venues, preparing agendas, and managing meeting minutes. Assist with special projects by coordinating tasks between departments and ensuring project timelines are met. Handle financial tasks such as managing invoices, expense reports, and budgets, while also supporting HR processes like onboarding, timesheet management, and employee records.
