Job Description
**PLEASE SUBMIT APPLICATION IN ENGLISH**
Working as part of a multi-person team, the Administrative Assistant provides full administrative support to the Real Assets Latin America team.
**_ Role-Specific Accountabilities_**
- Specific accountabilities include calendar management, arranging global travel and meetings, expense reporting, proofing and editing reports, ongoing communication with multiple internal and external stakeholders.
- Provides administrative assistant support to a team of professionals in a fast-paced and professional environment.
- Coordinates and book travel arrangements, including flights, hotels and visa requirements as needed
- Manages calendars on behalf of executives, work with other departments' EAs/AAs to coordinate meeting bookings as needed
- General administrative support to the team including handling expenses, invoicing, incoming and outgoing correspondence, mail, course registrations, etc.
- Handles highly sensitive and confidential matters relating to the daily activities of the group.
- Assists with meeting room bookings for internal and external meetings, including guest registration and catering orders as needed
- Assists with planning department-wide events including off-sites and social events: find venues, coordinate vendor contracts and payment, communicate with department, etc.
- Assists in the preparation of correspondence, reports and presentations using the entire MS Office suite as appropriate (Word, Excel, PowerPoint, etc.)
- Works with HR and IT to ensure the smooth on-boarding process for new employees
- Works on a highly cooperative basis with, and provides back up to other São Paulo based assistants, as needed.
- Other duties, as assigned.
Qualifications
- Post-secondary education in administration or comparable field is required; university or college degree preferred.
- Minimum of 2 years experience in an Administrative role supporting a team; exposure to large, multinational organizations and/or the financial industry preferred
- Fluent (both verbal and written) in both English and Brazilian Portuguese.
Working knowledge of Spanish an asset.
- Self-starter, comfort with ambiguity, excellent organizational and time management skills and pro-active learner.
- Strengths in attention to details and accuracy.
- Ability to readily adapt to a fast-paced and rapidly-changing environment and function well in a high-performance, deadline-oriented culture.
- Can accommodate a flexible work schedule.
- Behaves in a manner consistent with our Guiding Principles of Integrity, Partnership and High Performance.
