The Project Manager position is now available to provide support to the Chief of Operations.About PRF: Producer Roaster Forum (PRF) is a global coffee event organizer that connects specialty coffee producers and roasters from around the world. We organize two trade show forums (exhibitions) and origin trips per year to help foster sustainable relationships in the coffee industry. One in South America and one in Central America.
The ideal candidate will be bilingual (English and Spanish) and based in Latin America. The ideal candidate for this role will be exceptionally organized, able to thrive in fast-paced, busy environments, communicative, and knowledgeable, with strong communication skills.
We are offering this role on a permanent/full-time basis, and it will be fully remote. As part of the team for one of the world's leading coffee industry events, you will:
Support the Chief of Operations with all administrative and event planning requirements for a fast-paced biannual event.Serve as the main point of contact for all event participants, including sponsors, volunteers, attendees, and more.Coordinate travel plans as the event approaches.Assist exhibitors in planning and outlining their booths for the event floor.Manage select marketing activities, such as press releases.Communicate requirements to suppliers, exhibitors, and other partner brands for PRF.Act as a language liaison between partners who do not speak the same language.Maintain regular communication with suppliers to understand event specifics, such as booth and stand specifications.Translate content as required.Attend the two-day forum twice a year, serving as a core part of the on-the-ground team.
Essential:At least 3 years' experience in a similar role focused on events or organizational tasks.Ability to work efficiently under high pressure, especially in the weeks leading up to events.Demonstrated resilience and stress-management skills in fast-paced environments.Bilingual proficiency in English and Spanish.Exceptional problem-solving abilities and attention to detail.Clear verbal and written communication skills; comfort in speaking with diverse partners and clients.Strong interpersonal skills.Familiarity with the coffee industry.Proficiency in project management tools and systems.Technical literacy, including experience with spreadsheets and word processors (Microsoft Office or G Suite).Flexibility and adaptability in fast-moving event settings.Quick learner.

Please note that our events are hosted across Latin America and globally. Candidates must be willing to travel extensively for these events. This includes not only being present on the days of the event but also arriving at least a week early for preparations. Occasional pre-event short trip visits to the venue or other relevant locations may also be required.
