Position : Executive Secretary / Family Officer Location : São Paulo Employment Type : Full-time About the Role We are seeking a highly skilled and experienced Executive Secretary / Family Officer to provide top-tier administrative and operational support to a prominent family in São Paulo and the CEO of a large corporation.
This role demands exceptional organizational skills, discretion, and the ability to seamlessly manage both personal and professional responsibilities.
The ideal candidate will act as a key liaison between the family, the company, and external stakeholders, ensuring smooth communication and efficient execution of tasks.
Responsibilities Manage daily schedules, appointments, and travel arrangements for the family and the CEO.
Oversee personal and professional correspondence, ensuring confidentiality and professionalism.
Coordinate with company departments to handle tasks and requests involving the CEO.
Organize and maintain personal and professional records, files, and documents.
Plan and execute events, meetings, and family gatherings as required.
Manage household staff, vendors, and service providers, ensuring high standards of service.
Monitor and manage personal budgets, invoices, and payments.
Handle ad hoc tasks and errands with efficiency and a proactive approach.
Requirements Fluent in English (verbal and written).
A minimum of 5 years of experience in a similar role (Executive Secretary or Family Officer).
Strong organizational and multitasking skills.
High level of discretion, professionalism, and ability to handle confidential information.
Excellent communication and interpersonal skills.
Proficiency in office management tools (MS Office Suite, scheduling software, etc.).
Experience working with high-profile individuals is a plus.
