Position Title: Development & Communications Coordinator

Position Summary & Objectives
The Development & Communications Coordinator provides support for multiple stakeholders on all donor and member-related activities and initiatives, including but not limited to proposal development, membership acquisition and renewal campaigns, executing the annual fund campaign, gift entry and acknowledgment and participation in donor events. The Development & Communications Coordinator is also responsible for coordinating all marketing and promotional efforts to ensure that general marketing efforts adhere to schedule and align in content and tone, with solicitation and development approaches.
The main objective for this position is to successfully execute all tasks required to support Historic Bethlehem Museums and Sites (HBMS) donor development strategy and to develop, execute, measure and refine multi-touch fundraising campaigns, grant applications and reporting, and general communications while growing HBMS audience and enhancing donor relationships.
Essential Functions and Responsibilities
Development
Process gifts, enter gift information into Raiser's Edge and ensure donor profiles are accurate and timely
Execute membership acquisition campaigns and monthly renewal solicitations accurately and on schedule
Create written correspondence to acknowledge all cash and in-kind gifts in a timely fashion in keeping with donor-centered fundraising practices
Create targeted membership and development solicitation outreach pieces through eblasts, website, and site locations through a scheduled communications calendar in collaboration with the Managing Director
Maintain HBMS' grant calendar and ensure timely submission of proposals and reports to funders
Assist with the grant submission process including preparation of documents for submission, report generation and grant writing
Research individual and institutional prospects to aid the leadership team in securing contributing support for the HBMS mission
Prepare confidential donor and prospect reports, using both internal and external sources
Membership-related activities such as placing phone calls to current and lapsed members and providing training to frontline staff on membership conversion
Develop and maintain collateral, reports, and correspondence that will assist in outreach, donor requests, and acknowledgements
Handle incoming telephone/email inquiries from membership base, board members, and collaborators
Plan, organize, and execute donor events for Vice President, President, and Director of Philanthropy
Communications
Work with PR firm to review and edit marketing copy for HBMS website, advertisements, press releases, e-blasts, blogs, and various written communications pieces
Execute marketing and advertising campaigns for programs, lectures, and special events by:
Working with Freelance designers to create designs for invitations and advertisements from draft through distribution.
Communicating with sponsors, printers and publishers to create and promote marketing materials
Tracking and ensuring fulfillment of ad schedules for media sponsorship compliance
Review Social Media campaigns for consistency and accuracy
Ghost-write speeches, blog posts, or articles for executive staff
Work with the Database Manager to create compelling, customized communication that increases donor support and volunteer engagement and broadens the HBMS audience
Research, learn and implement new marketing tools and opportunities to enhance outreach
Implement tracking mechanisms such as Google Analytics and other tools to monitor marketing costs and analyze the effectiveness of various marketing and advertising campaigns
Required Knowledge and Experience
Bachelor's degree (preferred)
2+ years experience in non-profit, communications, or development related position
Proficiency in Microsoft applications – Excel, PowerPoint and Word
Strong creative writing skills
Familiarity with traditional and digital marketing tools
Experience with research and data-based reporting
Able and willing to work all major HBMS events which are typically held on weekends and evenings, including set-up and break down of the event

Reporting Relationships:
The Development and Communications Coordinator reports to the VP/Managing Director, and works closely with the CEO/President, full-time staff, contracted public relations firm, and freelance designers/ videographers.
Work Environment and Physical Demands
Duties of this position are performed in an office setting as well as at various HBMS historical sites. The position frequently requires standing, sitting, reaching, bending, walking and climbing stairs. The position also requires the ability to lift or carry items weighing up to 50 pounds.
