About the Role:
We are hiring
experienced executive assistants
to join our remote team.
You will work directly with fast-paced entrepreneurs and business leaders, becoming an integral part of their operations.
This role goes beyond traditional support—you'll proactively manage workflows, solve challenges independently, and create structure for long-term success.
Responsibilities:
Email and Calendar Management:
Take ownership of inboxes and calendars, organizing communication and meetings to maximize the client's time and minimize distractions.
Task Prioritization and Problem-Solving:
Proactively identify priorities and present multiple actionable solutions to challenges, e.g.,
"Shall we do X, Y, or Z?"
Meeting Support and Documentation:
Attend key meetings, capture notes, follow up on action items, and ensure nothing falls through the cracks.
Process Development (SOP Creation):
Develop and maintain
Standard Operating Procedures
for recurring tasks, ensuring they are well-documented and repeatable.
Project Coordination:
Monitor deadlines, update progress across workflows, and ensure smooth communication between stakeholders.
Vendor and Travel Management:
Manage personal and business travel arrangements, vendor relationships, and other logistical tasks.
Expense and Purchase Management:
Handle small business purchases and personal expenses.
Key Skills and Qualifications:
English Fluency:
Strong written and verbal communication skills, with cultural fluency to interact professionally in English-speaking business environments.
Organized and Detail-Oriented:
Exceptional ability to prioritize, multitask, and manage time effectively.
Experienced with Remote Tools:
Proficiency in tools like
G-Suite, Asana, Slack, Trello
, or similar platforms.
Problem Solver:
A proactive mindset with the ability to anticipate needs, take initiative, and
offer actionable solutions
—no hand-holding required.
Adaptable and Tech-Savvy:
Quick to learn new tools and technologies, with a solid understanding of
AI tools
for enhanced efficiency.
Confidentiality and Discretion:
Ability to handle sensitive business and personal information with the utmost professionalism.
Proven Experience:
A minimum of
3+ years supporting executives or business leaders remotely
