We are looking for a highly organized, proactive, and resourceful Executive Assistant to support our CEO. This role is critical to the success of our executive leadership by managing the CEO's complex schedule, coordinating communications, and handling high-priority tasks with efficiency and discretion. The ideal candidate will be a self-starter with a keen eye for detail and an unwavering commitment to confidentiality and professionalism. Responsibilities Calendar and Schedule Management: Coordinate and manage the CEO's calendar, arranging meetings, appointments, and events, and proactively adjusting as needed to prioritize key engagements. Communication and Correspondence: Act as the main point of contact for the CEO, drafting, prioritizing, and managing emails, memos, and other communications on their behalf, ensuring seamless internal and external interactions. Travel Arrangements: Organize and optimize travel plans for the CEO, including flights, accommodation, and ground transportation, ensuring a smooth and efficient travel experience. Meeting Coordination and Preparation: Prepare and organize meeting agendas, presentations, and other materials, and take notes as needed. Follow up on action items to keep projects aligned with the CEO's directives. Information Management: Maintain organized records and databases with a high degree of accuracy, ensuring that critical information is always readily accessible to the CEO. Relationship Management: Serve as a liaison between the CEO and internal and external stakeholders, fostering positive relationships and supporting high-level communication. Project Coordination: Assist the CEO in coordinating projects by tracking deadlines, collaborating with team members, and ensuring successful delivery of initiatives. Event Planning: Support in planning and organizing executive or company-wide events, special projects, or offsite meetings, ensuring all details are handled with precision. Confidential Support: Handle sensitive information with the utmost discretion, maintaining confidentiality at all times. Miscellaneous Support: Provide additional support as required to ensure the CEO's priorities are met and the executive office functions smoothly. Qualifications: Bachelor's degree or equivalent in Administrative area or related field. Advanced proficiency in Microsoft Office and Google Workspace. Proven experience in managing multiple priorities, administrative coordination, and logistics. Exceptional organizational skills, strong attention to detail, and the ability to multitask with timely follow-up. Excellent written and verbal communication skills. Fluency in English (C2 level).
