Job Description We are seeking a detail-oriented and proactive Executive Assistant to provide comprehensive support to a key executive. This role is integral to ensuring smooth day-to-day operations and will involve a wide range of administrative and project management tasks. The ideal candidate will be a problem-solver with strong organizational skills, able to anticipate needs and execute tasks efficiently.
Responsibilities Travel and Accommodation Management: Coordinate travel arrangements, including flights, hotels, and itineraries, for the executive and other stakeholders.
Calendar Management: Manage and maintain the executive's schedule, ensuring meetings and appointments are well-organized and prioritized.
Inbox Management: Oversee the executive's email inbox, filtering and responding to messages as needed, and ensuring timely follow-up on important communications.
Project Management: Assist in planning and executing various projects, such as organizing investor trips, managing logistics, and coordinating with multiple parties.
CRM Management: Update and maintain contact databases, ensuring information is current and accurate.
Research and Coordination: Conduct research on venues, restaurants, and other meeting locations based on the executive's travel plans. Coordinate meetings and social gatherings.
Ad Hoc Tasks: Handle miscellaneous tasks as they arise, demonstrating the ability to apply sound judgment and prioritize effectively.
Requirements: Technical Proficiency: Strong command of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with CRM systems. Familiarity with unique or industry-specific CRM tools is a plus.
Communication Skills: Fluent English proficiency, both written and verbal.
Judgment and Initiative: Ability to think ahead, anticipate needs, and make informed decisions independently.
Entrepreneurial Spirit: Comfortable working in a fast-paced, unstructured environment. Demonstrates flexibility, adaptability, and a "get things done" attitude.
