.We are seeking a proactive and detail-oriented Marketing Event Coordinator to join our team. This individual will be pivotal in ensuring the seamless execution of our events, from pre-event planning to post-event follow-up, including the design and coordination of all marketing materials.Key Responsibilities:Pre-Event Coordination:Collaborate with the marketing team to develop event concepts and themes.Source and secure event venues, vendors, and suppliers.Negotiate contracts and manage relationships with vendors.Coordinate logistics, including transportation, accommodations, and on-site event set-up.Ensure all necessary permits and insurance are in place.Create and manage detailed event timelines and checklists.Vendor Management:Identify and sign up vendors suitable for each event.Maintain effective communication with vendors to ensure timely delivery of services.Ensure all vendor payments are processed promptly and accurately.Handle any vendor-related issues or disputes efficiently.On-Site Event Coordination:Serve as the primary on-ground contact during events.Oversee event set-up, execution, and tear-down.Ensure all logistical aspects of the event run smoothly.Address any on-site issues or emergencies promptly.Post-Event Coordination:Conduct post-event evaluations and collect feedback from attendees, vendors, and staff.Prepare event reports and provide insights for future improvements.Ensure all post-event follow-ups, including thank you notes and final payments, are completed.Marketing Material Design:Design and produce all marketing materials and collaterals for the event, including brochures, flyers, banners, and signage.Coordinate with graphic designers and print vendors to ensure high-quality production of materials.Develop and manage the event's landing page, ensuring it is informative, engaging, and user-friendly.Collaborate with the marketing team to create digital content and social media campaigns to promote the event.Administrative Duties:Maintain organized records of all event-related documents.Assist with budget preparation and management.Collaborate with the marketing team on promotional activities and materials for events.Qualifications:Language Skills:Fluent in English, Spanish, and Portuguese (written and spoken).Education:Bachelor's degree in Marketing, Event Management, Communications, or a related field preferred.Experience:Proven experience in event planning and coordination.Experience managing vendor relationships and logistics.Experience in designing marketing materials and coordinating promotional activities.Skills:Exceptional organizational and multitasking abilities.Strong negotiation and communication skills.Proficiency in event management software, graphic design tools, and Microsoft Office Suite.Ability to work under pressure and handle multiple events simultaneously.Personal Attributes:High attention to detail.Strong problem-solving skills.Ability to work independently and as part of a team
