Purpose of the role

As the Office Coordinator, you will be the first point of contact for the company in our Colombo office, providing team, visitor, and administrative support across the business.

This role requires you to work autonomously to manage the many activities required to make our Colombo office a thriving, efficient workplace.

Due to the nature of the role, it will be completely onsite 5 days a week, although we apply a flexible approach to enable you to attend to ad hoc personal matters from time to time.

Role Responsibilities

Visitor and guest relations

Maintain a tidy and organized reception area.

Manage access passes for staff and visitors.

Be aware of daily meetings and guest arrivals, greet guests, offer beverages for meetings, and direct them to the right person/room.

Coordinate with the TA team for new starters or interviews and make the necessary arrangements.

General administration

Answer, screen, and forward general incoming phone calls, providing basic information as needed; forward messages to the appropriate team member.

Distribute and scan company mail and coordinate all deliveries with couriers.

Assist with general administration matters as required.

Facilities, event management & transportation

Maintain relationships with building management, the building owner & suppliers.

Organize and maintain meeting rooms, preparing them before and cleaning up after meetings.

Supervise the cleanliness of the canteen and kitchen areas.

Weekly ordering of fruit and grocery supplies for the office.

Manage stock of general office items, including kitchen supplies and stationery.

Organize staff charity events or catering as required.

Support the annual marketing event calendar and identify opportunities for events.

Organize external events such as the Christmas Party.

Maintain confidentiality of documents and ensure proper disposal of unwanted documents.

Manage transportation roster for cab and airport transfers as required.

Procurement

Place orders and manage supplier queries.

Manage the warehouse/stock room, including receiving, dispatching, and inventory management.

Assist with regulatory audits related to ISO and financial audits.

Manage product return processes and warranty registrations.

Vendor Management & Administration.

Work Health & Safety

Represent the Colombo office on the Brennan Workplace Health and Safety ('WHS') Committee.

Fulfilling First Aid Officer and Fire Warden responsibilities (subject to appropriate training).

Keep the First Aid kit stocked as per WH&S requirements.

Ensure fire extinguishers are refilled regularly and required tests are conducted.
