Job Title:
Payroll & Benefits Analyst - Brazil
Summary:
We are seeking a detail-oriented Payroll and Benefits Analyst to manage payroll processing and benefits administration for our employees in Brazil.
The ideal candidate will have a strong understanding of Brazilian labor laws, payroll systems, and benefits management, along with excellent English communication skills.
Responsibilities Include:
Payroll Processing:
End-to-End Payroll Management: Work with the provider to execute bi-weekly/monthly payroll processing, including calculating wages, deductions, bonuses, and overtime accurately.
Data Entry and Reconciliation: Ensure all payroll data is accurately entered into the payroll system, reconciling discrepancies promptly.
Tax Compliance: Check payroll tax filings, ensuring compliance with federal, state, and local tax regulations.
Stay updated on changes to tax laws affecting payroll.
Payroll Reporting: Generate and distribute payroll reports to management, highlighting key metrics and insights related to payroll expenditures and trends.
Work with the Finance team on payroll issues during monthly closing when necessary.
Supporting hiring and termination tasks of employees, taking care of all necessary documents, forms, and signatures, as well as checking all legal reports to the government, related several taxes, employee's data to Labor Ministry and Union.
Time & Attendance:
Responsible for the time & attendance of employees, co-ops, apprentices, and contractors, closing information every two weeks and always observing the application of the Brazilian law and taking action where necessary with leaders and subordinates.
Control the employees' bank of hours, providing reports to the direct managers to manage the hours to avoid payment of overtime in payroll.
Benefits Administration:
Program Management: Administer employee benefits programs including health insurance, life insurance, pension plan, and wellness initiatives.
Enrollment and Communication: Facilitate the benefits enrollment process, educating employees on their options, coverage details, and eligibility requirements.
Vendor Liaison: Work closely with benefits providers to resolve issues and ensure the smooth operation of benefit programs.
Regulatory Compliance: Ensure all benefits programs comply with local regulations and internal policies, making necessary adjustments as needed.
Provide guidance and support to employees regarding benefits enrollment, changes, and inquiries.
Control and check all payments to HR Benefits suppliers, including its POs in the SAP system, and perform internal expense control making all cost ratings.
Compliance:
Stay up-to-date with Brazilian labor laws and regulations, ensuring the company remains compliant.
Legal Compliance: Stay informed about changes in Brazilian labor laws and ensure that payroll and benefits practices adhere to legal standards.
Internal Audits: Conduct regular payroll and benefits process audits to ensure accuracy and compliance, preparing documentation for external audits as required.
Statutory Reporting: Prepare and submit necessary reports to government agencies, such as the Social Security Institute (INSS), Fundo de Garantia do Tempo de Serviço (FGTS), and other regulatory bodies.
Employee Support:
Point of Contact: Serve as the primary contact for payroll and benefits-related inquiries from employees, providing timely and accurate responses.
Training and Resources: Develop and conduct training sessions on payroll systems and benefits programs, ensuring employees understand their compensation and benefits.
Issue Resolution: Address employee concerns related to payroll discrepancies and benefits issues, facilitating resolutions professionally.
Data Management:
System Management: Maintain and update payroll and HR information systems, ensuring data integrity and security.
Process Optimization: Identify areas for improvement in payroll and benefits processes, recommending and implementing best practices to enhance efficiency.
Documentation: Maintain comprehensive documentation of payroll and benefits procedures, ensuring consistency and compliance across the organization.
Make the physical archive of the employees' documentation to keep the records updated for authorities' inspection, observing the legal limit of archive for each document;
Responsible for scheduling and taking care of the vacation period of employees and contractors, as well as checking their calculation and payment through the bank, according to deadlines and current law.
Qualifications:
The following are required for the role:
Bachelor's degree in a relevant field or equivalent experience.
3+ years of experience in payroll and benefits administration in Brazil.
Strong knowledge of Brazilian labor laws and regulations.
Proficiency in payroll software and HRIS systems.
Excellent English language skills (written and verbal).
Strong analytical skills and attention to detail.
Ability to work independently and manage multiple tasks effectively.
The following are preferred for the role:
Solid grasp of Microsoft Office/Excel.
Familiarity with Kairos (time reporting), Workday (HRIS), and Safeguard (payroll processing) systems.
