Job Description (Roles and Responsibilities) 1
**Main Purpose of Job**:
Provide operational support at the front desk controlling staff and visitor's access, switchboard, answering telephone enquiries and administrative duties as advised by the Corporate Services Section. Support the Security and Consular teams.
**Roles and Responsibilities**:
- Purchase, control and organization of stationery.
- Requisition of purchase orders.
- Receipt of invoices and initiation of payment process on the system.
- Update telephone lists.
- Update emergency contacts list.
- Update Crisis tree.
- Distribution of mail.
- Other admin tasks according to the team needs.
- Operate the Consulate switchboard, alarm systems, public announcement system
- When applicable, Consular and UKBA callers guidance)
- Deal with official visitors at reception
- Organize, lock and secure Reception areas
- Support Corporate Services Team with general administrative duties (e.g. partnership guide, FCDO returns, etc.).
Support Consular Team by orienting visitors (specially British Nationals) seeking information
- Mailing and invoice sift.
- Support internal and external clients with travel, accommodation and transport information and procedures (e.g. hotel and taxi booking).
- Update the organogram
- Translate documents
Essential qualifications, skills and experience 1
- At least 1 year experience in administrative role;
- Excellent communication skills, both written and oral, in English and Portuguese;
- Excellent engagement and customer service skills
- Able to multitask and prioritize.
- Strong team-working skills
Desirable qualifications, skills and experience 1
- Previous experience in working for a diplomatic mission is an advantage.
- University-level education/degree or ongoing studies.

**Working Patterns**:
Working hour per week: 36 hours (Mon - Thu: 8:30am to 4:45pm; Fri - 8:30am to 4:30pm)
